Who we are
Reelo, Inc. operates reelo.ai and all associated services ("Reelo", "we", "us"). We provide sales call intelligence software to B2B sales teams. Questions about this policy can be sent to privacy@reelo.ai.
What we collect
We collect the following categories of data:
- Account data — name, work email, company name, and billing information provided at signup.
- Call recordings and transcripts — audio and derived text from sales calls your team processes through Reelo, subject to your configuration and the consent requirements of your jurisdiction.
- CRM field data — opportunity, contact, and account records synced to or from connected CRM systems (HubSpot, Salesforce, Pipedrive) solely to power the integrations you configure.
- Usage data — feature interactions, error logs, and performance telemetry used to operate and improve the service.
How we use your data
We use collected data to:
- Deliver, maintain, and improve the Reelo service.
- Process transcription, extraction, and CRM sync operations you initiate.
- Send transactional communications (receipts, security alerts, product updates).
- Comply with legal obligations.
We do not train machine learning models on your call recordings, transcripts, or extracted insights. Your data is never sold to third parties.
Data security
All recordings and transcripts are encrypted at rest using AES-256. All data in transit is protected by TLS 1.3. Access to production systems is restricted to authorised Reelo personnel via MFA-enforced SSO. We are currently pursuing SOC 2 Type II certification.
Data residency and retention
By default, data is processed and stored in the United States. Business plan customers may request EU-only data residency (AWS eu-west-1) as part of their contract. You may configure custom retention periods on Business plans; the platform default is 24 months. You may request deletion of your data at any time by contacting privacy@reelo.ai.
Sub-processors
We use third-party service providers (sub-processors) to operate the service, including cloud infrastructure (AWS), payment processing (Stripe), and error monitoring (Sentry). A current list of sub-processors is available on request. Business plan customers may negotiate a DPA that governs sub-processor changes.
Your rights
Depending on your jurisdiction you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise these rights, contact privacy@reelo.ai. We will respond within 30 days.
If you are located in the European Economic Area, you have the right to lodge a complaint with your local data protection authority.
Cookies
We use essential cookies to maintain your session and a single first-party analytics cookie to measure aggregate product usage. We do not use third-party advertising cookies.
Changes to this policy
We will notify customers of material changes to this policy by email at least 14 days before they take effect. The current version is always published at reelo.ai/privacy.
